Before we begin to implement new technologies for GMDC, I"d like to propose a basic account management strategy guideline. The account access will be shared by thetechnical point of contact, treasurer, a backup contact, plus thepresident or designee. If the scope of our technology managementexpands we can choose to add additional roles as needed, but sincethis account can impact core functions of our organization we shouldnot share the access indiscriminately. Let’s use GreenMtnDogClub at gmail.com as an example (this is one that is available). We could establishthis account, then change the email contact at cleverdot to this one. We can then establish our accounts at CoffeeCup, PayPal, Cleverdothosting, and Verifone with this email address as the account access. Since we are required to have a physical address, the present one‘1174Mountainview Duxbury’ is fine, as our club leadership changes over time we can update theaddress to the current president’s address. I suggest using anaccount external to our domain in the event that there is a domainissue. We don’t want to find ourselves unrecoverable. I have nogreat love for gmail, we could use any one of the available servicesthat offer a free account and are established and reliable. We use this accountonly to access our technology accounts; it is never public facing. Here are my thoughts about the "members area" of the web site, which could be a password protected subdomain or whatever Jen thinks works best. As far as the Delegate information, it seems to me that I get three types of information from AKC: 1) Info of public interest, such as upcoming offerings on AKC TV, new title programs, photo contests, latest show at the AKC Museum of the Dog etc. This sort of thing should all be posted on the public facing part of the web site (as well as on our FB page) because it's a ready supply of fresh content that may be of interest to the public. The same could probably be said of most of the legislative alerts, which we now receive from AKC. 2) Info of club and board interest such as handouts from AKC Club Development, the AKC Secretary's pages, AKC financial reports, etc. which should be available to all club members but aren't necessarily appropriate for or interesting to the general public. 3) Issues/action items. I'm thinking specifically here of issues coming up for a vote at a future Delegate's Meeting, where I need input from the membership on how to vote. I would post an item along with any supporting background materials, we then need to be able to discuss it in a comments format (not in real time), and preferably then take a poll. I can visualize other ways we could use such a page/format. For example if we had a controversial club issue coming up, we could post background information and get people's comments and insights so that everyone goes into the club meeting better informed. I don't know that we need to separate "delegate issues" from other types of issues we might like to include in such a section, having a single "issues" section seems fine to me, but I don't have a strong opinion either way. We should also have a place to post minutes and financial reports for later reference.
